JOB DESCRIPTION

ArtStarts is seeking an administrative professional, with a keen eye for detail and an ability to critically assess processes and identify inefficiencies. This position supports the administrative needs of the organization particularly in the areas of: finance & accounting, office administration and volunteer coordination. This role plays an instrumental role in deepening the organization’s mission-driven impact. This position reports to the Director of Finance and Operations.

RESPONSIBILITIES

Finance and Accounting

  • Manage invoicing, payments and bank deposits
  • Manage relationships with customers and vendors
  • Assist with accounts payable and accounts receivable
  • Process grant disbursements for restricted funds

Office Coordination

  • Purchase and maintain office supplies
  • Maintain office equipment
  • Monitor administrative processes to make them more efficient
  • Process and report on office expenses
  • Manage main phone line and respond to queries
  • Lead office and facility orientation for new staff
  • Coordinate facility rentals
  • Troubleshoot and support staff with basic IT needs
  • Manage facility maintenance and requirements (eg. doors, entry intercom, elevator, alarm system, parking, electrician, plumber, heating/ventilation etc.)
  • Resolve administrative problems

Volunteer Coordination:

  • Lead the process of volunteer recruitment, selection and orientation
  • Serve as the primary point person for all volunteers
  • Develop volunteer engagement

QUALIFICATIONS

As ArtStarts is a mission driven organization, we are seeking someone to join our team who shares our sense of purpose to expand the role of art in education so young people thrive in learning and in life.

We are looking for someone who is committed to social justice issues and has an ability to apply an anti-oppressive lens to their work. We are also seeking someone who has the competency and ability to steward the use of our facility through the lens of accessibility.

The following will enable you to excel in this role:

  • Experience as an administrative professional in an office environment
  • Comfort with data and numbers and organizing information in logical ways
  • An attention to detail and the ability to be a problem solver
  • Proficiency with MS Excel, MS Word, Google Docs and Google Sheets
  • Comfort using (or learning to use) Slack and Asana
  • The ability to build positive working relationships
  • The ability to work independently and collaboratively in an open office environment
  • Excellent time management and multi-tasking skills
  • Strong communication skills
  • Strong organizational and planning skills

REMUNERATION

This is a regular full-time position (35 hours/week) with a regular Monday - Friday, 9am - 5pm schedule. The salary range is $40,000 – $44,000, based on experience. Additional benefits include three weeks of vacation, a professional development allowance, and extended health and dental benefits.
